SUMMER FOOD COORDINATOR

Distinguishing Features of the Class:  
This is a seasonal administrative position within the Department for Youth.  This position assists the Youth Services Worker in the coordination and monitoring of the Summer Food Program sites for program accountability and compliance.  In addition, the incumbent assists in collecting daily meal counts, reviews weekly meal counts, and maintains tally sheets and invoices for each site, daily correspondence with NYS Education Department.  Work is performed under direct supervision with leniency allowed for the exercise of independent judgment in carrying out assignments.  A Summer Food Coordinator also does related work as required.

Typical Work Activities: 
Maintaining daily correspondence with NYS Department of Education and the Summer Food Vendor;

Ensure that all sites are in compliance with regulations, and ensure the 1st and 4th week monitor visits are done in compliance with the New York Department of Education and the United States Department of Agriculture (USDA) regulations;

Trouble-shoot and resolve vendor and lunch site issues as they arise;

Assist Youth Services Worker in the annual training of Site Supervisors;

Maintain and create files for each Summer Food site, along with insuring all required paperwork is received;

Keep daily activity log of all Summer Food site activity;

Does related work as required.

Required Knowledge, Skills and Abilities:
Good knowledge of Youth Program sites/Summer Food sites throughout Rensselaer County; working knowledge of Youth Service programs and community resources; good knowledge of the needs and interests of youth; ability to maintaining cordial and effective working relationships with a wide variety of agencies and individuals; ability to plan and work with others; ability to monitor Summer Food sites for accountability; tact and courtesy.  Good communication skills and computer skills.  

Minimum Qualifications: 
Graduation from high school or possession of an equivalency diploma; valid New York State driver’s license at time of appointment.

Summer Food Assistant

DISTINGUISHING FEATURES OF THE CLASS:  
This is clerical work involving responsibility for performance of standard account-keeping practices in maintaining and checking financial accounts and records, including keyboarding.  The incumbent works under direct supervision on routine assignments which are done in accordance with defined procedures; detailed instructions are provided for new or unusual assignments.  The work is reviewed by observation, cross-checks, or by the immediate supervisor and by other steps in the account-keeping process.  

Reviews a variety of documents such as claim forms, vouchers, bills and   purchase orders to verify accuracy of invoices to approve the payment, according to defined procedures and policies;

Verifies calculations and codes on documents;

Posts figures to appropriate accounts either manually or through a computer,   verifying data entered;

Reconciles entries, made on all forms;

Prepares simple financial or statistical reports from data entered;

Produces data needed for State and Federal reimbursement claims;

Keys forms, form invoices, records, and posts balances to appropriate ledgers;

Contacts clients and vendors to obtain additional information as necessary;

Provides routine information orally or in writing in response to inquiries on   financial records;

Files and maintains records related to processing of invoices; 

Operates calculator, computer terminal, printer and other related office  equipment;

Resolves discrepancies in records by consulting vendor or agency liaison;

Does related duties as required

REQUIRED KNOWLEDGE, SKILLS, ABILITIES:  
Working knowledge of methods used in maintaining financial records and reports; working knowledge of office terminology, practices and procedures; ability to make basic arithmetic computations; ability to write legibly; ability to organize and maintain records and files; ability to understand and interpret oral and written instructions; ability to work well with others, good judgment, tact and courtesy,  ability to perform detailed work involving visual effort and strain.
